Unstructured IT documentation history in Kalmar

It’s easy to lose sight of the big picture in complex IT systems. “Qondoc provides us with a better overview, which helps us know exactly what we have in our IT system. This is very encouraging and we have a lot of faith in Qondoc,” says Magnus Garp, IT Manager for the municipality of Kalmar.

Operational security requires the right documentation

The municipality of Kalmar needed a product to document the relationships between systems, network equipment and clients. “For operational security purposes, we need to guarantee that we have the pertinent documentation - and that it is easy to locate - to avoid errors due to incorrect or out-dated documentation,” Magnus Garp continues.

From manual to automatic

Qondoc’s product series was so comprehensive and targeted the needs of Kalmar. “We have a huge need for the CMDB feature. Up to now, we’ve taken care of documentation manually, with Excel sheets and Word documents, which hasn’t been viable. The Qondoc CMDB, along with the Application and Infrastructure modules, allows for an automatic overview; we can see which systems are affected if we need to reboot a switch or a virtual server. We haven’t really had an overview this extensive before.”

Overlicensing is a drain

The other main reason why Kalmar opted for Qondoc was the license management application, which would replace their previous manual inventory process conducted once a year. The Qondoc SAM helps provide efficient license management. “It’s happened that we have purchased new licenses, when we actually have licenses at another department we aren’t using. We need to manage these resources better.”

Investment pay-off

Other Qondoc modules, particularly Finance and Contract Management, have future potential in Kalmar, according to their IT Manager: “Further on down the line, we might go for Finance for our internal debiting procedures and Contract for contract management, but right now we are focusing on the CMDB features and license management. Simply put, being able to avoid a single major operational breakdown makes this entire investment pay off. We have a lot of faith in Qondoc.”
