We are now in the final stages of developing the Qondoc Contract Manager. In addition to an informative graphic overview of the full portfolio of contracts of a business with durations, review dates and financial data, the program also creates relations between the actual contract and the equipment of the business.
Qondoc is already now making it possible to create a contract for an object; however, Contract Manager opens up for completely new opportunities. With this program it is now possible to set up links between several objects related to a specific contract. This can be done because the contract is an object in its own right and not just the subset of server documentation.
“We also enter additional data, everything from when the contract was formed, the duration of the contract, whether there are any annual review dates where the contract should be reviewed. There is also financial information such as which cost centre should pay for the contract. The IT department may draw up the contract whereas the editorial office is supposed to pay, if we are looking at say a telecommunications provider,” explains CEO Sven Askengren. If invoicing data is also added, this will give the business a good future overview of the costs of the individual contracts and when the costs are due.
A good function long requested by many is to be able to add to a contract. It is difficult to get an overview of the contract portfolio because contracts are often supplemented by additional equipment and an extended scope.
In our opinion the graphic motor, which is an integral part of Contract Manager, provides an even better overview with the horizontal timeline starting from the date when the user is added to the system or by allowing the user to choose a time period. Below the timeline, all contracts running during this period are visualised with important data such as when the contract is approaching the end of its duration. “We build a notification feature into the system which tells the contract holder when the contract expires. This gives you time to terminate the contract or extend it,” says Sven Askengren.
When the Contract Manager module is launched, it will be activated via the other Qondoc products via a licence key. We will send updates to all our customers who will then determine whether to make use of the Contract Manager. “We will now visit all existing customers to show them Contract Manager in a demo environment. We expect to be able to have the program ready for the market in December,” Sven Askengren adds.
